Grihaand Co Ltd ("Grihaand", "we", "us", "our") provides residential property management services to property owners and to tenants. This Privacy Policy explains what personal data we collect, why we collect it, how we use it, and the rights available to individuals under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
1. Who We Are
Grihaand Co Ltd is a company incorporated in England and Wales (Company No. 16684078), with registered office at 275 New North Road, London, N1 7AA. Grihaand is the data controller for the personal data described in this Policy, except where stated otherwise below.

2. Scope of This Policy
This Policy applies to personal data we collect and process as a data controller — for example, data relating to visitors to our website, prospective and current tenants, prospective and current property owners and their business contacts, guarantors, contractors and suppliers, and job applicants.
Where Grihaand manages a property on behalf of a third-party owner (a "Managed Landlord"), Grihaand acts as an independent data controller for tenant referencing, right-to-rent checks, rent collection, client money handling, and statutory compliance. Grihaand and the Managed Landlord will each be a controller of overlapping tenant data for their own respective purposes; the data protection responsibilities between us are set out in the Property Management Agreement.
3. Personal Data We Collect
Tenants and prospective tenants:
- Identity data: name, date of birth, photographic ID, right-to-rent documentation, and immigration or visa status, where applicable
- Contact data: address, email address, phone number
- Financial and employment data: income, employer details, National Insurance number, and bank details for rent payment or Direct Debit
- Housing benefit or Universal Credit data, including local authority references, where rent is paid in whole or part by the state
- Referencing data: previous landlord references, credit check results, and guarantor details
- Tenancy administration data: agreement terms, rent account and arrears history, maintenance requests, inspection reports, correspondence, and records of any complaints or incidents (including CCTV footage of communal areas, where installed)
We do not seek to collect health or medical information as a matter of course. Where such information is volunteered — for example, in connection with a reasonable adjustment request — we treat it with the additional care required for special category data under Article 9 UK GDPR.
Property owners and Managed Landlords:
- Identity and contact data
- Property ownership, title, and mortgage lender details, where relevant to consent to let
- Bank details for rent remittance and fee invoicing
- Compliance documentation: gas safety records, EICR reports, EPCs, and HMO licences where applicable
All individuals:
- Enquiry and contact data submitted via our website, email, or social media
- Website usage data: IP address, browser/device type, pages visited, referral source
- Marketing preferences
- Recruitment data (CVs, cover letters, interview notes)
- Supplier billing and payment details

6. Sharing Your Personal Data
We may share personal data with:
- Hosting, email, and productivity service providers (bound by written data processing terms)
- Credit reference and tenant referencing agencies
- Guarantors, limited to data necessary to confirm suitability
- Local authorities, where necessary for housing benefit/Universal Credit liaison
- Contractors and tradespeople, limited to data necessary to carry out repairs
- Our Client Money Protection scheme provider and redress scheme, where we act as managing agent for a Managed Landlord
- A tenancy deposit protection scheme provider, where a deposit is taken
- Our accountant, bookkeeper, or professional advisers
- Our banking providers
- Regulators, law enforcement, or courts, where required by law
We do not sell personal data. We do not share personal data with third parties for their own independent marketing without consent.
7. International Transfers
We do not transfer personal data outside the UK or the European Economic Area (EEA).
8. Data Retention
- Tenancy records: duration of the tenancy plus 1 years
- Right-to-rent check documentation: in line with current Home Office guidance
- Unsuccessful applicant referencing data: generally 12 months
- Enquiry data (non-clients): generally 24 months from last contact
- Owner/Managed Landlord contact data: business relationship plus 6 years
9. Your Rights
Under UK GDPR you have the right to: be informed; access your data; rectification; erasure; restrict processing; data portability; object to processing; withdraw consent; and lodge a complaint with the Information Commissioner's Office (ICO).

10. Security
We implement appropriate technical and organisational measures to protect personal data, proportionate to its nature and sensitivity.
11. Children's Data
Our services are directed at adults. Where a tenancy includes occupiers under 18, we process only the minimum data necessary for occupancy and safety records, and do not knowingly collect data directly from children.

We may update this Policy to reflect changes in our practices or the law. Material changes will be notified via our website. The date above shows when it was last revised.

These Terms govern the provision of property management services by Grihaand Co Ltd ("Grihaand", "we", "us", "our") to landlords and tenants. The full detail of your specific arrangement — fees, notice periods, repair authorisation limits, and so on — is set out in your signed Tenancy Agreement or Property Management Agreement, which takes precedence over these Terms for anything it covers directly. These Terms fill the gaps and set out our general approach.
Our Services
Depending on the level of service instructed, Grihaand provides:
- Marketing a property and arranging viewings
- Tenant referencing, right-to-rent checks, and tenancy onboarding
- Preparation and administration of Tenancy Agreements
- Rent collection and remittance
- Day-to-day management, including maintenance coordination
- Monitoring compliance with statutory landlord obligations (gas safety, electrical safety, EPC, Renters' Rights Act requirements)
- Basic oversight only, for landlords who want a lighter-touch service
All Services are delivered with reasonable care and skill. We don't guarantee void-free occupancy, achievable rent levels, or the outcome of any dispute with a tenant.
Client Money and Regulatory Status
Where Grihaand acts as managing agent for a third-party landlord and holds rent or other money on their behalf, that money is held in a separate client account. Grihaand is a member of:
- Client Money Protection scheme: Grihaand Co Ltd is not currently a member of a Client Money Protection scheme; membership is in progress pending completion of a ring-fenced client account with Barclays.
- Property redress scheme: The Property Redress Scheme (PRS), membership no. PRS060114
- Tenancy deposit scheme: TDS (The Dispute Service), membership no. EW177743
- Professional indemnity & client money insurance: £1,000,000 cover, held at all times via Simply Business, policy no. BHBI5685884XB
- ICO registration: ZC181403

Fees
No fees of any kind are charged to tenants except the permitted payments below. Landlord fees are agreed individually and set out in the Property Management Agreement.
Permitted Payments (Tenants)
In accordance with the Tenant Fees Act 2019, we only charge or facilitate:
- Rent
- A refundable tenancy deposit, where applicable (capped at 5 weeks' rent, or 6 weeks' where annual rent is £50,000+)
- A refundable holding deposit, capped at 1 week's rent
- A default fee for late rent payment (only once rent is 14+ days overdue, calculated per the Act)
- A reasonable, cost-based charge for replacing a lost key or security device
- A payment for early termination at the tenant's request, capped at the loss reasonably incurred
No other fee will ever be charged in connection with granting, renewing, varying, or ending a tenancy.
Deposits
A deposit is required as a condition of the tenancy, as permitted by law. It is protected in a Government-approved tenancy deposit scheme within the statutory time limit, with the required prescribed information served on the tenant. Our current scheme is the Tenancy Deposit Scheme (TDS), membership no. EW177743.
Liability
We are not liable for loss of profits, indirect or consequential loss, or (for landlords) loss of rental income beyond what is directly caused by our breach. Our total liability is limited to fees paid to us in the previous 12 months. Nothing here excludes liability for death, personal injury caused by negligence, fraud, or any liability that cannot lawfully be excluded.
Confidentiality & Third-Party Services
We keep confidential information secure and only disclose it with consent or where legally required. We may use third-party tools, contractors, and portals in delivering the Services, and have no control over their availability or performance.
Disputes
We ask that any dispute is raised through our Complaints Handling Procedure in the first instance. If unresolved, a tenant or landlord may refer the matter to our redress scheme (see above) or to mediation.
General
These Terms, together with any Tenancy Agreement or Property Management Agreement, form the entire agreement between the parties for their subject matter. Changes must be agreed in writing. These Terms are governed by the laws of England and Wales, and the courts of England and Wales have exclusive jurisdiction.

Who Can Complain
Any landlord, tenant, prospective tenant or landlord, or other person directly affected by our services, including someone acting on their behalf with authority to do so.
How to Complain
Please put your complaint in writing wherever possible, so we can properly investigate it:

Our Process

If You Remain Unhappy
If you've completed both stages and remain dissatisfied, or 8 weeks have passed since you first complained without a final response, you can refer your complaint to our independent redress scheme:
